We will show you how to work efficiently with AAKIO. Together, we will go through all the input fields. I will explain what information should be entered in each field – for example, dimensions, series, object numbers, components or provenance. In addition, we will provide an overview of how AAKIO will be further developed in the future. The event is aimed at both interested parties and registered users who want to optimally structure their work with AAKIO from the outset.

What is AAKIO?

AAKIO is a digital inventory for professional visual artists. It structures, manages, catalogues and presents artistic works – from individual pieces to entire series and complete oeuvres. AAKIO allows artists to keep track of their work – and make it visible for the future.

How does AAKIO work?

AAKIO is entirely web-based and can be used in your browser without any additional installations or plugins. The software is intuitively designed and easy to use, regardless of your technical knowledge. Artists, museums and galleries can record, manage and present their works directly online. Thanks to clear structures and modern user guidance, information can be quickly maintained and accessed at any time – on any device with internet access. The only requirement is a reasonably up-to-date browser and operating system; older versions may have occasional limitations.

Why does AAKIO exist?

With AAKIO, we want to fill an important gap: we make the works of all artists who are part of our platform visible and accessible in the long term. Our goal is to document artistic creation in a sustainable manner and preserve it for the future. Starting in summer 2026, all works published via AAKIO will be accessible online to a wide audience and can be easily searched.

How much does AAKIO cost?

AAKIO offers flexible pricing models that can be adapted to individual needs. The monthly package price for members of professional associations, such as the BBK, and specialist collecting societies, such as VG Bild-Kunst, is €6.99. Membership details must be provided during registration. For non-members, the corresponding package costs €9.99. For small museums, galleries, collectors or foundations, we offer a package for €11.99 for the registration of several artists in one directory, and for artist manager, galleries and organisations for the registration of several catalogues of works in one account. This costs €16.99. Billing is convenient and secure via SEPA direct debit.

Which solution fits best?

AAKIO Artist

AAKIO Artist is ideally suited for catalogues raisonnés, estates and artist archives as well as inventories. It enables the comprehensive documentation of all works by an individual artist. The point at which one begin is irrelevant: you can either use the software from the very start of your career or structure and document your complete body of work at a later stage – for example, if you have previously preferred to focus entirely on your artistic work.

Estates can also be managed with this package. By selecting a checkbox in the profile settings, the category “Estate” can be activated for search within our system. Within the profile, information about the deceased artist and the contact person can be recorded separately.

Furthermore, starting in summer 2026, those works approved for us will be published on our platform at no additional cost and will be accessible there to all visitors.

The number of works is essentially unlimited, restricted only by the available storage capacity. With 15 GB of storage space and an average image size of 2 MB, approximately 7,500 works can be archived. Additional storage can be added at low cost if required.

To simplify administration, up to three editors can be invited to collaborate.

AAKIO Collector

AAKIO Collector is a package particularly suited for small museums, small galleries, collectors, and foundations. Unlike a catalogue raisonné, it includes a collection of works by different artists. Typically, one does not own the majority of a single artist’s complete oeuvre, but rather individual works representing various artistic positions.

To simplify administration, all works are displayed in one unified overview. This eliminates the need to switch between different catalogues raisonnés and makes management more efficient.

Furthermore, starting in summer 2026, those works approved for us will be published on our platform at no additional cost and will be accessible there to all visitors.

As museums in particular may require more extensive documentation, this package includes 25 GB of storage space. With an average image size of 2 MB, this allows for approximately 12,500 images. Additional storage can be added at low cost if needed.

To facilitate collaboration, up to three editors can be invited to assist with management.

AAKIO Manager

AAKIO Manager enables the creation and management of unlimited catalogues raisonnés, estates and artist archives as well as inventories – each with an unlimited number of works. This package is particularly suited for art managers supporting multiple artists, as well as for galleries and museums. Each catalogue is maintained independently and managed separately.

This package may also be the right solution for larger foundations – for example, when extensive bodies of work need to be documented or when estates are being administered.

Furthermore, starting in summer 2026, those works approved for us will be published on our platform at no additional cost and will be accessible there to all visitors.

Storage capacity is correspondingly higher: 45 GB allows for the archiving of approximately 22,500 images with an average image size of 2 MB. Additional storage can be added at low cost if required.

To facilitate collaboration, up to three editors per artist can be invited to assist with management.

Frequently asked questions

From 15 February, a simple import function will be available that allows you to conveniently transfer all text components used in AAKIO. We provide a sample Excel document that you can use as a guide when structuring your own file to ensure a smooth and meaningful import. We will publish step-by-step instructions and an accompanying webinar in good time.

We would be happy to provide you with a quote for a complete import, including images.

All data is automatically backed up daily. These backups rotate over six days. In addition, a snapshot of the entire database is created weekly and archived for eight weeks. Deleted data is retained in the respective user account for 7 days so that accidental deletions can be reversed. The servers are located in Nuremberg and are subject to German data protection standards. Please note: AAKIO is not a vault for original files, but an online catalogue for the professional presentation of approved works by artists (from the middle of next year).

AAKIO will be continuously expanded in the coming months. Among other things, there are plans to enable unregistered users – such as collectors or curators – to access and share individual works. In addition, a public platform is planned for mid-2026, where visitors will be able to browse and research works released for AAKIO. However, this platform will only be implemented once a relevant number of works have been published and numerous users are active on AAKIO. We are also planning to expand the export function so that selected data can be output in printable formats (e.g. for exhibition or insurance lists, etc.).
We will also soon be offering a bookable package that allows multiple catalogues of works to be managed and administered within a single account.

AAKIO is a spin-off of CDLX GmbH. We have been working in the fields of fine arts, education and science for many years. With our application portal "applicare", we developed software for the digital processing of tender procedures from 2016 to 2020 – from form management to tendering and judging to digital contract signing. Artists and institutions throughout Germany have been using applicare successfully for years.
Building on this experience, we have developed AAKIO – a new software that is already being used by the Stiftung Kunstfonds and the Kunststiftung des Landes Sachsen-Anhalt.

If you wish to export your data, you can start the process at any time. Within a few hours, you will receive a ZIP archive via download link. This contains CSV files for further processing, all uploaded media, and a simple HTML view of the works. For very extensive catalogues of works, creating the archive may take longer. You can then cancel your account.
